Collection donation protocol

Protocol for Donations to the ESMUC Library-CRAI

The ESMUC Library-CRAI has significantly increased its collection thanks to the generosity of individuals and entities that have contributed to it by means of donations and loans of books, magazines, CDs, musical scores and other types of documents.

This protocol is intended to guarantee that all documents included in the catalogue align with the Library’s collection development policy, and that consistent criteria are applied when accepting a donation.

General Criteria for Accepting Donations

The Library-CRAI accepts all donations of documents that are in good condition and relevant to the teaching and research carried out at ESMUC.
 
We do not accept documents that fall into the following categories:

Quantitative criteria
  • Duplicated documents that already exist in the ESMUC collection.

  • Documents in obsolete formats (VHS, beta, floppy disks, cassettes, vinyl records, CDs, etc.). CDs will only be accepted in cases where the performers, composers and/or directors of the recording are part of the ESMUC faculty, students, Administration and Service Staff and alumni.

  • Incomplete documents.

  • Documents with outdated content or content that quickly becomes obsolete and has been updated by later publications.

  • Documents where the cost of transportation exceeds or is not proportional to the value of the donation.

  • Non-original documents protected by law: photocopied or digitised works, video or CD copies, etc.

  • Unpublished documents.

  • Documents that can be found in electronic format and with unrestricted access.

  • Single issues of a magazine that can’t complete the ESMUC collection.

  • Minor or archival material that does not fit into any specific existing collection.

  • Pulp literature or newsstand publications that are given away with newspapers and magazines.

  • Reprints of which the Library already has its original publication.

  • Documents available in the ESMUC collection in another language.

  • Documents available in the ESMUC collection and published by another publisher.

Qualitative Criteria
  • Documents in poor condition.

  • Documents that are not relevant to the areas of interest for study and artistic work at ESMUC.

  • Documents with inappropriate content for the academic level of ESMUC.

  • Documents with a publication date greater than 40 years from the date of donation.

How to make a donation

Donations will be formalised through the document donation form. It is necessary to provide a brief inventory of the documentation being offered (indicating its author, title, publisher, format and year).

The Library will provide a written response to all donation proposals after they have been evaluated according to the aforementioned criteria.

In the event that the Library accepts the donation, it may also arrange for its transportation.

Small donations may be accepted at the information desk.

What treatment do donated documents and collections receive?

Donated documents are integrated into the ESMUC collection and can be located through the Library’s catalogue, being subject to the same conditions of use as any other document.
 
The Library sends the donor a letter or e-mail to thanking them for their contribution. Once the document has been catalogued, the donor’s name is recorded in the catalogue’s bibliographic record.
